Name Change

Name changes must be recommended by the RS. To change the name of your club these steps must be followed:

  1. Hold a Sponsors’ Meeting and put the name change before the sponsors for vote.
  2. Submit minutes from this meeting to the RS and USPC National Office.
  3. RS sends written recommendation to the National Office.
  4. Submit application fee of $50 to National Office.
  5. The change of name must be put forward by the VPRA to the USPC Board of Governors for final approval.

NOTE: Pony Club names are subject to review by USPC. Acceptance of names is at the sole discretion of USPC and unsuitable names will not be accepted. Once a name has been used by a club (active or discontinued), the name is no longer available for use. If your club is considering a name change, check with the Member Services Department to see if the name(s) you are considering are available for use.


Territory Change

Over time clubs may find that the areas from where their members are coming to participate have shifted. In order to accurately reflect your club’s area of participation, updating the territory of the club on file with the National Office is in order. Territory changes must be recommended by the RS. To update the territory of your club these steps must be followed:

  1. Hold a Sponsors’ Meeting and put the territory change before the sponsors for vote.
  2. Submit minutes from this meeting to the RS and the USPC National Office.
  3. RS sends written recommendation to the National Office.
  4. The change of territory must be put forward by the VPRA to the USPC Board of Governors for final approval.


Region Change (For Clubs with their own EIN)

As activities shift location within a region, a club may find that they are participating more with a neighboring region or for some other reason may want to make a change in regions. This is not a decision to be made lightly. Clubs may not repeatedly change regions. To make a change in regions these steps must be followed:

  1. A Sponsors’ Meeting must be held and the change of region be placed on the agenda for discussion and vote at that meeting.
  2. Minutes of this Sponsors’ Meeting must be submitted to the RS of the current region and to the USPC National Office.
  3. Both RSs must agree to the change and provide written recommendations for the change to be sent to the National Office.
  4. Submit application fee of $50 to USPC Office.
  5. The change of region must be put forward by the VPRA to the USPC Board of Governors for final approval.


Region Change (For Branch Clubs operating under the Region’s EIN)

  1. A Sponsors’ Meeting must be held and the change of region be placed on the agenda for discussion and vote at that meeting.
  2. Evaluation of existing and necessary state registration requirements by both the transferring and receiving Regional Supervisor must take place, including
    1. State Charitable Registration for the state in which the club is located (Contact the Charitable Registration Compliance Coordinator at the National Office to determine if changes will be required. Any required changes or additions to Charitable Registrations will be initiated at the National Office.)
    2. State Business Registration for the state in which the club is located (search "state Secretary of State Office").
  3. Written recommendations from both RSs that include verification of Step #2 sent to the USPC National Office. Verification must include specifics related to both states requirements listed above.
  4. Completion of Branch Transfer Paperwork
    1. Bill of Transfer – signed by Regional Supervisors of both regions
    2. Regional Council resolutions – for each region, signed by respective Regional Secretaries
  5. Items submitted to USPC Regional Administration Department
    1. Sponsor Meeting Minutes
    2. Written RS recommendations
    3. Completed and signed Bill of Transfer
    4. Signed Regional Council resolutions
    5. Transfer application fee of $50
  6. The change of region must be put forward by the VPRA to the USPC Board of Governors for final approval.


Employer Identification Number (EIN)

If the EIN listed on your club's record is not correct, please email or mail the Member Services Department the correct number and attach/include a copy of the IRS letter designating the correct number.

Charitable Registration

Some states require each club and region operating in their state to register with the Secretary of State's Office in order to accept any charitable donations. The National Office is facilitating these registrations. Once registrations are completed the state-assigned number, or, if no number is assigned, the word "registered," will be entered by the National Office into the club or region's record.
